Job Summary
We are seeking a highly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer support and ensuring smooth office operations. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
Duties
- Greet, communicate with, and welcome guests
- Escort visitors to the appropriate person or meeting room
- Answer, screen, and forward incoming phone calls
- Making sure the kitchen is stocked and cleaned
- Maintain the appearance of front desk and ensure that supplies are available
- Maintain and restock common areas with refreshments throughout the day
- Maintain, organize, and assist with the general upkeep of supply orders and inventory
- Arrange food orders as requested,d including set-up and clean-up as appropriate
- Provide basic and accurate information in person and via phone/email
- Receive, sort, and manage daily incoming and outgoing mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Assist the Office Manager when needed with onboarding and offboarding processes
- Perform other clerical duties such as filing, photocopying, transcribing, and faxing
Requirements
- Proven work experience as a Front Office Representative or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance with a customer service attitude
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Sense of ownership and pride in your performance and its impact on the company's success
- High school degree: additional certification in Office Management is a plus
- Ability to stand and walk for extended periods throughout the workday.
- Frequent lifting of objects weighing up to 50 pounds.
